It’s weekend and it’s time for a PowerPoint Tip and Trick. We don’t talk much here at the World of Office Tips and Tricks about PowerPoint since Word, Excel, Outlook,  XP and Vista Tips and Tricks are more our thing. Okay back to today’s PowerPoint tip. Say you’ve prepared a presentation at home but you now want to display it at the office. As many of you might have experienced (I did) it can happen that when you run it on the other system that you don’t hear any sound. When you’ve ruled out the loose speaker cables you need to check if you copied the sound files along with the powerpoint presentation. MS Powerpoint only stores smaller files in the presentation itself. All the other larger files are loaded from of your harddisk. You need to make sure that Microsoft PowerPoint is copying the sound files in the .PPT file.

 

To force Microsoft PowerPoint 2007 to place the sound files in the .PPT file you’ll need to take the following steps.

 

  • Go to the Office Button
  • Select PowerPoint Options
  • Select Advanced
  • Now you need to scroll down till the save section.

It’s now set on greater than 100KB. You need to set it to a value greater than your largest sound files. This option means in this case that Microsoft PowerPoint will link to an files on your harddisk if the file is >101KB and this is exactly what you don’t want. If your sound file is 200KB you need to set this value at least on 201KB.

 

Now click OK and now you need to add the sound file to your presentation once more. When you now save the presentation you’ll notice that your .PPT is much larger than before. This is because of the added sound file;).

 

The proper steps in the previous PowerPoint versions are Tools, Options and the tab General. The principle is the same as the directions for PowerPoint 2007.
