Outlook Optimizing Tutorials nr.2: a Button for Generating Already Addressed E-mails.

We started last Wednesday with sequence of tutorials on how to optimize Microsoft Outlook. The one we’ve talked about last week was about how to Add or Remove buttons from your toolbar.
I’ve added several buttons; some of them where the mark as read, mark as unread and the office clipboard button. I’ve also added buttons for making a note, a contact card and an appointment. This way I don’t have to leave my mailbox for creating an appointment or a note.
Today where taking the buttons a bit further. Now I’ll show you how you can have a toolbar button work for you. We made while back in 2007 a desktop icon that once clicked on created an e-mail with (multiple) receivers. Today I’ll show you how can have the same button but then in your toolbar.
Create a toolbar button for generating already addressed e-mails.
· Right click on an empty spot on your toolbar.
· And select Customize

Now you first need to select a button that you want to customize. You should choose a button that stick out of the bunch; I’ve chosen to drag the Green Journal Entry Button to the Toolbar.

· Now you need to select the button so that you have a black border around it.
· Then Click on Modify Selection
· And choose Assign Hyperlink and Open

Now you’ll need to select E-mail Address and type in your receivers e-mail address. Click OK and you’re done.
If you want to add multiple addresses then you’ll need to add a “;” like this
test@theworldofoffice.com;test@theworldofoffice.com
I’m sending e-mails to my girlfriend every day, for this I now a created a handy button. But of course you can also use this at your office for your colleagues, boss or department etc etc.
